Collect only useful information
Ask for the relevant service, a description of the requirement and enough contact information to reply. Separate any optional promotional or WhatsApp communication consent from required enquiry fields. Avoid asking for secrets in a public form.
Validate, classify and route
Check whether required fields are present, detect duplicates and direct the enquiry to the right service category. AI-assisted classification may help with sorting, but uncertain or sensitive cases should have an explicit human review path.
Create a reliable record
A CRM or project tool can store the lead, source, consent state, timestamp, assigned owner and status. Workflows should record meaningful failures and support retry or manual intervention instead of losing enquiries silently.
Respond with appropriate permission
A submitted phone number alone is not promotional WhatsApp opt-in. Messaging should follow the customer’s chosen communication channel, applicable platform policies and permissions. Sales commitments, pricing and non-routine cases should remain reviewable.
Track operations rather than vanity metrics
Useful reporting includes new enquiries, qualified requests, owner response, handovers and unresolved cases. Review where customers get stuck and update the workflow based on real evidence, not automatic promises of conversion.
These are general planning guidelines. Technology, costs, third-party rules and outcomes vary by project and platform.
